Chatflows Analytics
This section contains essential information and usage guidelines for the ChatFlows tab inside BotPenguin Analytics.
What is the ChatFlows Tab?
The ChatFlows tab inside Analytics gives you a view of how your Chatflows are performing β how many times they were triggered, how many unique users participated, and how many email addresses were collected.
When Should You Use This?
Use the ChatFlows Analytics tab when:
You want to see how often a specific Chatflow is being triggered
You need to measure how many unique users are actually completing or engaging with a flow
You want to track email capture performance across your Chatflows
You are comparing multiple Chatflows to identify which ones drive the most engagement
You need to investigate a spike or drop in flow activity on a specific day

Expected Outcome
After reviewing the ChatFlows Analytics tab:

Use ChatFlows Analytics alongside Chatbot Engagement β together they show both flow-level triggers and overall session quality.
Accessing ChatFlows Analytics
Log in to your BotPenguin dashboard.
Click Analytics in the left sidebar.
Click the ChatFlows tab at the top.

Filters
Use the time period filters at the top right to scope your data:
Last 7 Days
Data from the past 7 days
Last Month
Data from the previous calendar month
Last Year
Data from the previous calendar year

Filter data by specific bots
Summary Cards
The top of the page shows three summary numbers for the selected time period.
Activations:
The total number of times any Chatflow was triggered during the selected period. Each time a user enters and starts a Chatflow, it counts as one activation.
How to use it: Track overall flow traffic and measure how often users are entering your Chatflows.
Participants:
The number of unique users who participated in a Chatflow during the selected period. Unlike Activations, this counts individual users rather than total triggers β so if the same user activates a flow three times, they are counted once.
How to use it: Compare against Activations to understand how much repeat-triggering is happening versus genuine reach.
Emails Collected:
The total number of email addresses captured through Chatflows during the selected period.
How to use it: Track lead capture performance and measure the ROI of your Chatflows as an acquisition channel.
Activations & Participants Chart
This bar chart shows the daily breakdown of Activations and Participants over your selected time period.

What each bar represents:

Chart controls:
Date range β Click the calendar icon to set a custom date range
Pick bots β Filter the chart to show data for specific bots only
Pick Flows β Filter the chart to show data for specific Chatflows only
Daily / Weekly / Monthly β Toggle to change how data is grouped on the X axis
How to use it:
A large gap between Activations and Participants on a given day means the same users are triggering the flow multiple times
Spikes in Activations indicate high-traffic days β useful for identifying when campaigns or events drove users into the flow
Use the Pick Flows filter to analyse the performance of a specific Chatflow in isolation
Best Practices
π‘ Use the Pick Flows filter to compare performance across different Chatflows and identify which ones drive the most engagement.
π‘ A consistently low Participants count relative to Activations may indicate users are re-entering the same flow β review the flow logic if this is unintended.
π‘ Monitor Emails Collected alongside Activations to measure how effectively your Chatflows are capturing lead data.
π‘ Switch to Monthly view for a high-level trend overview, and Daily view to investigate specific spikes or drops.
Troubleshooting
Activations are high but Participants are very low
This usually means the same users are re-triggering the flow repeatedly. Use the Pick Flows filter to isolate the flow and review its entry conditions or triggers for unintended re-activations.
Emails Collected is lower than expected
Review the Chatflow to ensure the email collection step is present, correctly positioned, and not being skipped due to user drop-off or flow logic.
No data is showing for the selected date range
Verify that the correct bot is selected in the Pick Bots filter and that the Chatflow was active during the selected period. If necessary, expand the date range to check for available activity.
FAQs
What counts as an Activation?
An Activation is counted every time a user enters and starts a Chatflow, regardless of whether they complete it. A single user can generate multiple Activations if they trigger the flow more than once.
What is the difference between Activations and Participants?
Activations count every trigger event, while Participants count unique users. If the same user triggers a flow three times, that's three Activations but only one Participant.
How is Emails Collected calculated?
Emails Collected counts the total number of email addresses captured through Chatflows during the selected time period, based on email-capture steps within the flows.
Can I view analytics for a specific Chatflow only?
Yes. Use the Pick Flows filter on the Activations & Participants chart to isolate data for one or more specific Chatflows.
Can I filter ChatFlows Analytics by bot?
Yes. Use the Filters option at the top of the page, or the Pick bots control on the chart, to scope data to specific bots.
What does a large gap between Activations and Participants mean?
It typically means a smaller group of users is triggering the flow multiple times rather than new unique users entering it. Review the flow's entry point and triggers if this isn't expected.
