Steps to Integrate Simplybook with BotPenguin

Section A: Configuring BotPenguin For Simplybook

  1. Login to your BotPenguin account. Now, select and click the chatbot you want to integrate with Simplybook.

  1. Click on edit your chatflow, and select the desired chaflow.

  2. In the chatflow, enter an "Appointment" component after the email, location and choice of the service and proveder has been taken from the user. If unclear, put the Appointment component in the end of the chatflow.

  3. In the Appointment component, select "Simplybook" in the dropdown.

  1. Once satisfied with the flow, go back to the bot and click on "Third Party Apps Integration"

  1. Search for Simplybook by:

    1. Scrolling down to Simplybook, or

    2. Searching for Simplybook in the Search bar.

  1. Click on "Connect" to connect to Simplybook, followed by "Connect" again to arrive at the integration screen.

Section B: Configuring Simplybook

  1. Go to SimplyBook and sign-in to your account. If no account has is available, sign-up for an account.

  1. When signing up, the user will be prompted to enter the name of their company as part of the process. Take note of this company name. This will be needed in the BotPenguin Integration.

  1. In the next step, specify the location of your company.

  1. Lastly, the user will be asked to specify their name, email and password. Please note the same as they are also needed for the integration with BotPenguin.

  1. Once all the steps have been created, the user will be asked to verify their chosen email with an OTP code. Verify the same.

  2. Post verification, the user will be taken on the automated onboarding of Simplybook, including setting business hours, provider name, look etc

  1. With the onboarding complete, the user is all set to integrate BotPenguin with Simplybook.

If you already have an account on Simplybook, the login email id, password can be entered. As for the company, the URL located on the login-page will have the company name in the between https://____.secure.simplyook.com. Eg: https://mikesbakery.secure.simplybook.me/

Section C: Finishing Integration with BotPenguin

  1. Go Back to BotPenguin and enter the company name, email address and password

  1. Once entered correctly, click on the conenct button to connect Simplybook with BotPenguin.

Section D: Configuring Simplybook on BotPenguin:

  1. Open the "Basic Appointment Booking" section. Here, you can map the email, location, services and providers of those services using your chatbot questions.

  1. To map anything, simply enter "/" in the right-hand side box. A box, as showcased in the image above, will open, showing all the questions in the flow. Select the desired question using the mouse.

  2. Now, anytime the chatflow runs, the selected question will be mapped to the email, location, service or provider respectively, and a slot will be booked in the Simplybook.

  3. Once satisfied, click on "Save"

  4. In the Other configuration, parameters from Simplybook can be mapped questions of BotPenguin. This is useful if extra details are needed while booking appointments in Simplybook.

Do I need a SimplyBook account before starting the integration?

Yes. You must have an active SimplyBook account. If you do not have one, you can sign up on SimplyBook during the integration process.

What details from SimplyBook are required for the integration?

You will need your company name, email address, and password registered with SimplyBook to connect it with BotPenguin.

Where should I place the Appointment component in my chatbot flow?

Ideally, the Appointment component should be added after collecting email, location, service, and provider details from the user. If unsure, you can place it at the end of your chatflow.

How do I map chatbot questions to SimplyBook fields like email, location, service, and provider?

When configuring in BotPenguin, enter “/” in the mapping field. A list of chatbot questions will appear, and you can select the relevant question to map it to the corresponding SimplyBook field.

Can I map additional fields beyond the basics (email, location, service, provider)?

Yes. Under the Other Configuration section in BotPenguin, you can map additional SimplyBook parameters to chatbot questions, allowing for more customized appointment bookings.
